In this role, you will oversee hospital operations, manage logistics and resources, ensure compliance with regulations, and lead a team dedicated to supporting high-quality patient care—all while contributing to the hospital’s strategic growth and mission.

About the Role:
The Manager of Support Services is a key member of the Leadership Team and reports directly to the Hospital Director and Medical Director. This role is responsible for overseeing the operational functions of Support Services across the hospital, ensuring that all infrastructure, equipment, materials, and operational systems are maintained to support high-quality patient care.


The Manager of Support Services directs logistics and operational resources including equipment management, facility maintenance, safety and regulatory compliance, inventory management, vendor coordination, and departmental support. This position ensures the hospital maintains compliance with all applicable government regulations, licensing requirements, and accreditation standards.

This role plays an active part in hospital strategic planning and collaborates with leadership to support the hospital’s Mission, Vision, and Core Values. The Manager of Support Services also supervises personnel responsible for support services operations and ensures departments function efficiently in a fast-paced specialty and emergency hospital environment.

The Manager of Support Services provides operational leadership and administrative oversight for inventory management, facilities and building operations, pharmacy, and laboratory services. This role ensures these departments operate efficiently, comply with regulatory requirements, and maintain the resources necessary for high-quality patient care

Compensation:
  • $68,000-$85,000, based on experience/skills

    • 5 x 8 hour shifts
Essential Functions

Equipment Management

  • Monitor and respond to equipment-related requests.
  • Troubleshoot issues and coordinate shipping, tracking, and replacement when needed.
  • Maintain accurate equipment inventory and tracking.
  • Schedule and oversee preventative maintenance and servicing.
  • Manage service contracts with vendors and repair providers.
Safety and Regulatory Compliance
  • Ensure safety protocols are maintained for patients, clients, and staff.
  • Monitor incident reporting and assist with Root Cause Analysis when required.
  • Support new hire orientation and safety training programs.
  • Ensure completion of required safety checks and regulatory training.
  • Maintain compliance documentation including OSHA records, SDS, hazardous waste tracking, radiation monitoring, rabies exposure documentation, and adverse event reports.
  • Manage injury reports, Workers’ Compensation documentation, and employee retraining when needed.
Facilities Management
  • Conduct routine facility walk-throughs to ensure safety and operational readiness.
  • Monitor and respond to facilities-related service requests.
  • Coordinate repairs, preventative maintenance, and vendor services.
  • Maintain relationships with landlords, property managers, and contractors.
  • Ensure compliance with state and local permits and facility regulations.
  • Oversee third-party service providers including custodial, IT, and maintenance vendors.
  • Support facility planning, storage management, and expansion or renovation projects.
Inventory and Supply Management
  • Oversee ordering, tracking, and organization of hospital inventory including pharmacy supplies, blood products, medical equipment, and patient care supplies.
  • Ensure DEA compliance for controlled substances, including cycle counts, discrepancy reporting, and proper disposal.
  • Conduct quarterly inventory audits.
  • Oversee invoice reconciliation and inventory documentation.
Administrative and Operational Support
  • Support hospital leadership with operational initiatives and assigned projects.
  • Maintain and organize hospital Standard Operating Procedures (SOPs).
  • Assist with development and implementation of policies and procedures.
  • Attend leadership and operational meetings.
  • Research and implement new vendors, equipment, and operational solutions as needed.
Leadership and Strategic Responsibilities
  • Demonstrate strong leadership, communication, and team-building skills.
  • Maintain operational accountability for Support Services functions.
  • Identify opportunities for operational improvement and strategic initiatives.
  • Collaborate with leadership to implement operational strategies and performance improvements.
  • Promote a patient-centered approach across clinical and operational teams.
  • Support recruitment, retention, and employee engagement.
  • Participate in planning and implementation of new hospital services or programs.
  • Maintain knowledge of regulatory requirements and industry best practices.
Qualifications:
  • 4-year degree from an accredited university in Healthcare Administration, Business Administration, or related major
  • Minimum five years of progressive leadership experience in veterinary hospital operations, healthcare operations, facilities management, or inventory management.
  • Experience working in a fast-paced veterinary specialty or emergency hospital environment preferred.
  • Strong leadership and organizational skills.
  • Ability to manage multiple operational priorities in a high-volume clinical environment.
  • Excellent interpersonal, communication, and problem-solving skills.
  • Working knowledge of regulatory requirements relevant to veterinary hospitals.
  • Knowledge of building systems including electrical, HVAC, plumbing, and mechanical systems.
  • Ability to adapt to evolving operational needs within veterinary medicine.
  • Basic computer proficiency including Microsoft Office and other business software systems.
  • Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus
