Hospital Inventory Coordinator Technician, CVES

Job Title: Inventory Coordinator
Reports to: Hospital Manager 

Job Summary: The Hospital Inventory/DEA/ Safety Coordinator technician is responsible for maintaining inventory needs and counts, DEA and Safety compliance and staff training. This role wears multiple hats and must be available to assist in several aspects of the hospital when needed. Additional responsibilities include assisting multiple departments and assisting with the employee vaccine clinic, paperwork, invoices, etc. The Hospital Floater assists doctors, veterinary technicians, veterinary assistants, and clients service representatives with carrying out treatments, diagnostics, and procedures as needed in all services. 

Primary Responsibilities: 

Inventory and DEA 

  • Coordinates quarterly hospital inventory within Ethos deadline. 

  • Provides direct oversight and facilitates all responsibilities related to managing hospital supplies, purchases, and pricing at NVS Clarksville.   

  • Establishes and maintains an electronic inventory management system for an efficient hospital inventory system focused on adequate supply stock, inventory turn rates, organization and appropriate pricing and markups. 

  • Oversees the hospital’s Cubex units and functions; establishes new protocols and user training and keeps abreast on updates. 

  • Partners with departments to ensure product and supply stocking, special order items and small equipment needs. 

  • Establishes a system to support supply and product returns to vendors. 

  • Develops and maintains local vendor relationships; leverage Ethos-vendor partnerships to the hospital's benefit. 

  • Checks daily reports, verifies sales, checks discrepancies, and balances records. Maintains, controls, and keeps accurate records of controlled substances in the Cubex Machines, lock boxes. Adheres to laws and regulations governing the preparation, dispensing, and compounding of prescription drugs, chemicals, and pharmaceutical products. Participates in the annual physical inventory as well as perpetual inventory. Assists in the expired drug program. Assists in maintaining and updating policies and procedures, signature lists, non-inventory list, and labels. Maintains inventory on all pharmacy storage locations. 

  • Manage and development of action plans to ensure regulatory compliance with DEA. 

  • Manage discrepancy investigations, balancing inventories for transfers, shipments, receipts, drug logs, etc. 

  • Stocking Hospital Inventory 

Safety Compliance 

  • Conducts hospital safety trainings for new and current employees. 

  • Completes safety walk throughs and checks equipment to identify/resolve any potential OSHA regulation violations. 

  • Ensures compliance with NVA safety standards. 

  • Conducts annual refresher on general and job specific safety trainings. 

  • Conduct Safety training with injured employees 

  • Maintains written safety manuals for the hospital. 

  • Conduct Facility Safety inspections and monitoring 

  • Provide training to employees about hazardous chemicals to which they are exposed. 

  • Maintain hospital SDS (Safety Date Sheet) 

Hospital Floater 

  • Assists Specialty departments and ER/ICU with patient treatments, diagnostics, and procedures. This includes restraining, sedation, general anesthesia, administration of chemotherapy, assisting with radiographs, assisting with blood work, preparing for procedures/surgeries/endoscopies/diagnostic imaging (MRI/CT/ultrasounds), communicating with clients, performing discharges, seeing appointments, and any other duties they need assistance with. 

  • Obtain appropriate medical information, vitals, and weight. 

  • Maintain medical records. 

  • Review estimates with clients 

  • Input physical findings and/or doctor’s notes into software programs (EzyVet, SmartFlow, etc.) 

  • Filling prescriptions and calling prescriptions into pharmacies 

  • Facilitating patient visitations 

  • General maintenance of equipment 

  • Hospital stocking 

  • Contribute to general cleaning, laundry, dishes, sweeping/mopping, changing trash, cleaning cages, etc. 

Qualifications:  

  • LVMT CVT, LVT, RVT, or VTS licensure and at least 3+ years of veterinary hospital experience. 

  • Must have a reasonably in-depth understanding of veterinary medicine. 

  • Must have broad technical abilities.  

  • Two (2+) years of experience in inventory and materials management preferred, but not required. 

  • Experienced with computerized inventory management systems, MS Office, and Apple systems.  

  • Must have exemplary customer service skills. 

  • Adaptable to work with different departments and people regularly. 

  • Possesses a calm demeanor in stressful situations and high emotional intelligence. 

  • Proactive in identifying the needs of each department on a daily, weekly basis. 

Performance Requirements:  

  • Flexibility to work beyond scheduled hours if necessary.  
  • Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus
  • Must be able to multi-task and complete assigned tasks.  

  • Must be able to work in a busy, fast-paced environment.

Physical/Environmental Requirements: This job classification requires that the applicant be capable of standing continuously for up to four hours with little or no breaks during; sitting; required to lift and carry animals weighing fifty pounds or more; handle dogs weighing up to 150 lbs.; reaching; speaking; seeing; and hearing. This job classification also involves repetitive use of the hands, wrists, and arms. Individuals must be able to meet the minimum dexterity requirements of the position. This position involves a potential for exposure to agents known to cause zoonotic disease in humans and the use of potentially hazardous chemicals as defined by the National Hazard Communication Standards. A complete list of such chemicals is available from the hospital management.
