Veterinary Surgery Coordinator

The Virginia Veterinary Center in Short Pump, VA is hiring a full- time Surgery Coordinator to join our outstanding team!
Position Overview:To elevate VVC’s Surgery Department’s client experience and improve upon treatment plan compliance and fee capture.
- Point of contact for surgery clients when a medical team member is not immediately available
- Point of contact for pDVMs requesting to speak with a surgeon (when a surgeon is not immediately available)
- Provide surgery clients with the time and attention they need (which allows the nursing team to focus primarily on patient care)
Primary Responsibilities:
- Available to the Surgery Department to coordinate patients’ care.
- Handles complicated or time-consuming financial conversations with specialty clients, relieving the surgeon or his/her team so they can move onto the next patient or procedure.
- Assist CSRs with in-depth phone calls from clients and PVMs to discuss and answer detailed questions about services.
- Assists with disruptive clients or upset clients, preventing escalation.
- Audits all current/open invoices for hospitalized surgery patients. Audits closed invoices as a KPI, producing management reports monthly.
- Participates in department level meetings
- Attend daily rounds
- Have a solid knowledge of routine specialty surgeries/procedures and at home care
- Work collaboratively with the entire VVC specialty staff
- Create estimates for procedures
- Present treatment plans to client
- Schedule add-on procedures/emergencies per specialist approval
- Assist nursing team with call-backs
- Ensure all surgry cases are scheduled in a timely manner per surgeon’s standards and availability
- Audit surgery invoices
- Aid clients with insurance companies
- Strong communication and the most positive customer service skills
- Provide medical updates to owners if nursing staff is unavailable to do so
- Knowledge of common surgeries, procedures, and advanced imaging process
- Assist clients with questions regarding paperwork
- Assist nursing team by checking team voicemails, conveying message to the correct team member, and returning phones calls as needed.
- Check department voicemail throughout the day
- Take as many calls for the surgery department as possible (to avoid sending clients to voicemail)-timely resolution of client concerns/request
- Ensure charts are complete for next day appointments-follow up with appropriate pDVMs as needed
- Performs all other duties as assigned
Qualifications:
- Available to work between the hours of 7am – 6pm
- Preferred client service work history
- Preferred surgery/medical knowledge
- Experience auditing medical records
- Demonstrated history of handling escalated client concerns
