Position Summary:
The Specialty Client Service Coordinator (SCSC) provides administrative and client service support for the specialty teams by coordinating patient care, managing medical records, facilitating scheduling, and ensuring timely communication with clients and clinical staff. This role is essential in maintaining an efficient workflow while delivering exceptional client service.
In your day-to-day, you will:
- Review all incoming medical records to ensure they are complete and ready for the clinical team.
- Assist clinical teams with scheduling future appointments for patients.
- Partner with the clinical team and leads to ensure timely collection and verification of initial deposits, appointment payments, and outstanding balances, and assist with client checkout.
- Manage specialty team emails and review and respond to client callback requests.
- Answer incoming calls and provide timely, professional assistance to clients and team members.
- Operate as a liaison between front-of-house staff, clients, doctors, referring vets, and clinical staff to ensure all client interface and patient care occurs in a timely manner
- Manage the specialty department's schedules and review medical records to ensure all appointments are scheduled appropriately
What You Bring
- High school diploma
- 1+ years of clinical experience in the veterinary industry.
- Strong organizational and time management skills.
- Excellent attention to detail.
- Exceptional customer service and communication skills.
- Ability to prioritize multiple competing tasks in a fast-paced environment.
- Experience with ezyVet
- Collaborative approach to working with multidisciplinary clinical teams.
- Ability to maintain confidentiality and professionalism while handling sensitive patient information.
