Veterinary Doctor Coordinator, ECC, NVS
About the role:
As our Doctor Coordinator, you'll play a crucial role in supporting our ER/ECC team, patients, and clients. Your responsibilities will include being the main point of contact for attending doctors, ensuring seamless communication between the medical team and clients, and facilitating patient visits and discharges. From providing morning updates to assisting with medical records and client communication, your contributions will directly impact the quality of care we provide.
Anticipated Schedule:
- Four 10-hour shifts
- Days & Swings
- Weekend Rotation
- Ability to stay beyond scheduled shift as required
- Holiday rotation - Must work 2 holidays per year minimum
- Cannot work more than 5 shifts per week
- $18 - $27 pending knowledge & experience
- Shift/Weekend Differential:
- M-F after 6p: Base + $4.50
- Sa/Su (All Day): Base + $4.50
- You are a dedicated veterinary professional with at minimum 1 year of experience (2+ years is preferred but not required.

Summary: The primary goals of the Doctor Coordinator are to support the ER/ECC team, patients, and clients by being the point of support and contact for the attending doctors on shift. They serve as a liaison between the medical team, clients of ER/ICU/ECC patients, and the front desk. Their role is to assist the doctors with client updates from admission to the hospital, daily updates, financial updates, and facilitation of patient visits and discharges. They will assist doctors with medical records and will also follow up with clients to ensure their pet(s) continue to do well following discharge or help facilitate further care.
Duties
- Provide a morning update to all hospitalized ER/ECC patients
- Assist doctors with record keeping by inputting overnight updates, diagnostic results and other portions of the medical record as directed.
- Keep doctors on task by updating the case owner in EzyVet and SmartFlow, starting treatment sheets and discharges as directed and ensuring patients are on appropriate SmartFlow boards and rounds sheets.
- Review estimates and euthanasia paperwork with owners.
- Collect deposits and check patients out.
- Assist in technical duties such as obtaining and submitting radiographs, running basic in-house lab work, sending labwork to Idexx or outside laboratories, and maintaining the diagnostic section of EzyVet for current patients (attach radiology reports, etc.)
- Facilitate transfer calls from referring veterinarians if doctor and tech are not available.
- Facilitate specialty consult requests, schedule follow-up appointments, and internal referrals.
- Call referring veterinarians for patient records, laboratories for diagnostic results, and pharmacies for any prescriptions as directed.
- Primary point of contact for client call backs for any questions or concerns.
- Monitor all pending tests, provide call backs to clients if diagnostic results are normal on the same day, and update the doctor on the results.
- Facilitate discharges of hospitalized patients, filling medications, making sure pet is clean and ready for discharge, removing all medical equipment, and be the point of contact to ensure kennel is clean and ready for the next patient.
- Perform 48-hour follow-up calls for post-discharged patients to see how they are doing and answer any questions or concerns. Facilitate and schedule owner visits.
