​​​About the Role: The Specialty Department Coordinator will work closely with the medical staff, doctors, the Client Care department, and clients, acting as a liaison between parties. This role is instrumental in facilitating effective communication, coordination, and collaboration both within the specialty department and the client care department. The Specialty Department Coordinator will facilitate communication from the respective department to clients. 

About You:  A skilled and motivated individual who pays attention to detail, has strong communication skills with both clients and team members, and the has ability to multi-task with a positive outlook in a fast- paced environment.

Primary Responsibilities: The Cardiology Coordinator is responsible for presenting treatment plans and accurately handling financial transactions for patients in a professional and supportive manner. It includes managing department appointment checkouts and scheduling any necessary follow-ups, as well as obtaining rDVM records to ensure they are complete and attached to each patient’s file. A key part of the day-to-day work involves staying on top of department communications—monitoring email, voicemail, eReferrals, and eBookings—to respond appropriately and keep appointments moving smoothly. The position also helps ensure CPR statuses are current and documented, oversees prescription requests across multiple platforms, and coordinates with pharmacies to make sure medications are filled once approved. Accuracy in patient and client information is essential, along with assisting clients through pet insurance claims and preparing outside referrals when needed. In addition, this role serves as a consistent point of contact for client care within the department, helping maintain strong service quality and efficiency. It includes sharing finalized medical records with both rDVMs and clients, managing communication across multiple platforms like text, email, walkie, and specialty apps, and supporting sensitive services such as euthanasia coordination—making sure all paperwork and financial arrangements are handled thoughtfully and efficiently.

Qualifications:

  • At least 2 years of veterinary experience.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Strong work ethic and positive attitude
  • Excellent communication skills, verbal & written, with doctors, coworkers, and clients
  • Maintain a professional, positive, and encouraging attitude.
