Compensation: $25 – $32/hr, based on experience
Schedule: Full-time, Monday – Friday, 8:00 AM – 5:00 PM

About You:
You are an organized, service-oriented professional who takes pride in creating a seamless experience for clients, referring veterinarians, and internal medical teams. You thrive in a fast-paced environment where attention to detail and clear communication are essential.
You understand the importance of professionalism, empathy, and responsiveness when supporting clients and veterinary partners during important medical moments for their pets. You enjoy problem-solving, building strong professional relationships, and helping ensure that every referral case is coordinated accurately and efficiently.
Requirements for the Role:
Minimum 3 years of experience in veterinary client service, veterinary technician, or administrative roles
Experience in specialty or emergency veterinary medicine preferred
Strong understanding of general practice veterinary operations and emergency/specialty referral workflows
Excellent verbal and written communication skills with both clients and veterinary professionals
Strong organizational skills and attention to detail, with the ability to manage multiple priorities
Ability to remain calm, professional, and solution-focused in fast-paced or emotionally sensitive situations
High level of technical proficiency, including experience with electronic medical records, referral portals, and standard office software (Word, Excel, Outlook)
Fluency in English (speaking and reading) required; additional languages are a plus
Responsibilities:
As a Referral Coordinator, you will play a critical role in ensuring an exceptional referral experience for our referring veterinary partners and clients. Key responsibilities include:
Serving as the primary point of contact for inbound referral communications via phone, email, fax, and referral portals
Ensuring accurate and timely processing of patient records and referral documentation for specialty teams and veterinarians
Documenting referral communications and case updates within the medical record
Supporting clients, referring veterinarians, and internal teams with professional and compassionate communication
Assisting with scheduling consults, procedures, rechecks, and specialty services
Maintaining referral portals, patient care databases, and documentation records
Submitting documentation and invoices for pet insurance claims when appropriate
Supporting hospital leadership with referral engagement initiatives, outreach, and communication with referring practices
Providing overflow support to client service teams, including phone coverage and appointment scheduling as needed
Identifying opportunities to improve referral workflows and enhance service delivery
