The Science Operations Manager (SOM) plays a central role in ensuring the efficient, compliant, and financially sound execution of Ethos Science’s research and market insight portfolio. This position bridges strategy and execution—helping translate vision into operational reality through robust systems, streamlined processes, and strong cross-functional collaboration.

The SOM supports the initiation, coordination, and completion of sponsored and internal studies, managing operational workflows, contracting, budgeting, and invoicing. The role is highly collaborative, connecting sponsors, hospitals, and internal partners to ensure consistency, accountability, and quality across all research activities.

Compensation and Benefits

  • Salary: $90,000–$120,000 annually, commensurate with experience.

Key Responsibilities

Operational Leadership and Process Development

  • Coordinate day-to-day operational activities across multiple concurrent research and market studies, balancing tactical execution with strategic oversight.
  • Develop and refine standardized workflows for project initiation, contracting, invoicing, and reporting to ensure consistency and scalability.
  • Implement and maintain tools (e.g., Smartsheet, Power BI, SharePoint) that enhance visibility into project timelines, deliverables, and financial performance.
  • Partner with cross-functional teams to drive operational efficiency, automate manual workflows, and identify continuous improvement opportunities.
  • Maintain clear documentation and version control for operational and financial records, ensuring audit readiness and transparency.

Financial and Contract Oversight

  • Lead all invoicing and billing activities for Ethos Science projects using QuickBooks or equivalent systems.
  • Ensure invoices are accurate, aligned with contract milestones, and issued promptly to sponsors.
  • Collaborate with the Senior Director of Science, Legal, and Finance to draft and finalize project contracts, Statements of Work (SOWs), and budget agreements.
  • Track project-level and aggregate revenue; monitor cash flow and payment reconciliation; and support financial forecasting and reporting.
  • Maintain an organized database of executed agreements, renewals, and amendments, ensuring contractual compliance and timely updates.

Cross-Functional and Sponsor Collaboration

  • Serve as the operational point of contact for sponsors, coordinating contracting, onboarding, and ongoing project execution.
  • Participate in sponsor and client meetings to define deliverables, operational requirements, and budget structures.
  • Facilitate communication among hospitals, Clinical Research Associates, Clinical Study Facilitators, and support center teams to ensure aligned project execution.
  • Support sponsor updates and progress reporting, contributing to a consistent and professional client experience across all studies.
  • Collaborate with the Market Research team to integrate operational support for data-driven and AI-enabled insights initiatives.

Strategic Growth and Organizational Development

  • Partner with Ethos Science leadership to identify operational gaps and implement systems that support long-term scalability.
  • Contribute to strategic planning discussions related to service expansion, new research capabilities, and process innovation.
  • Use operational data to inform decision-making, track KPIs, and identify trends or bottlenecks that impact delivery.
  • Apply a foundational understanding of regulatory and legal compliance, particularly regarding claims substantiation and metrics reporting, to ensure operational and reporting processes align with sponsor and industry expectations.
  • Foster a collaborative, solutions-oriented culture that values adaptability, accountability, and shared success.

Qualifications

  • Proactive, resourceful, and invigorated by the constant evolution and challenge of a high-growth department.
  • Collaborative mindset and ability to build trust and alignment across technical and clinical teams.
  • Bachelor’s degree in a scientific, business, or operations-related field (e.g., Animal Science, Biology, Business Administration, Operations Management).
  • At least 5 years of experience in product development, research operations, project management, or clinical program coordination (veterinary, pharmaceutical, or life sciences industry preferred).
  • Demonstrated success managing complex, multi-site projects involving diverse internal and external stakeholders.
  • Proven ability to oversee budgets, contracts, and deliverables in an industry, research, or clinical environment.
  • Experience with QuickBooks or equivalent accounting systems, and a strong understanding of budgeting, billing, and revenue tracking.
  • Familiarity with project management and analytics platforms such as Smartsheet, Power BI, or similar tools.
  • Strong financial acumen, organizational skills, and attention to detail.
  • Excellent written and verbal communication, with confidence interfacing across departments and with sponsors.
  • Master’s degree or PMP certification preferred but not required.
