General Purpose: The Invoicing/Charge Capture Coordinator is responsible for assisting the veterinary staff with invoices related to services rendered or scheduled. The Coordinator works collaboratively across several departments including but not limited to Client Services, Specialty Services, Inpatient Services and Emergency Services. The focus is to ensure that services are aware of the daily totals of their patients and invoices and that all service charges are captured accurately.

Position Responsibilities include but are not limited to:
- Review invoices each morning and compare to treatment sheet/plan, calculate current charges vs. deposits and calculate daily balance, enter charges for services provided to hospitalized patients, call clients to discuss changes, collect updated deposits, finalize invoice prior to discharge and assure all charges are entered.
- Communicate with DVMs and nursing staff for treatment plans and diagnostics, actively work with staff to correct invoice or billing errors, provide documentation for billing errors, process client account credits where necessary, apply and oversee military & rescue discounts.
- Perform financial audits and reporting in EzyVet and medical records, monthly audits of charges and pricing, accounts receivable tasks, help streamline/standardize charge processes.
- Perform other related responsibilities as assigned.
Requirements:
Clinical veterinary experience preferred with basic knowledge of diagnostic imaging, patient vitals and monitoring, fluid therapy, laboratory equipment and procedures, pharmacology, disease processes, etc.
Excellent time management skills with a proven ability to meet deadlines, strong analytical and problem-solving skills, with the ability to prioritize tasks and to delegate them when appropriate.
- Excellent organizational skills, attention to detail, with strong communication skills with both clients and team members
- Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus.
