Job Description – Assistant Client Care Supervisor
Title: Assistant Client Care Supervisor | Position: Full-Time | Location: Ethos Vista Veterinary Hospital
As an Assistant Client Care Supervisor, you are expected to lead in creating daily operational tasks, increase peer competency, and act as the “go-to” person. You will support client care, veterinary technicians, veterinarians, and leadership. Our 24-hour emergency and specialty hospital provides care in internal medicine, surgery, radiology, and cardiology. Our modern facility offers full in-house laboratory, digital radiography, ultrasonography, on-site CT, and endoscopy.
As an Assistant Client Care Supervisor, you are considered the first point of contact for clients, and last. At this level, you have proven that you meet and exceed standards and expectations with minimal guidance. To be successful in your role, you will need to be a strong leader, manage your time well, and communicate effectively. As an Assistant Supervisor, you will be sought after to lead projects, provide training, and support the CSRs during daily operations.
About the Role:
- Our compensation for this role typically falls between $24.00 and $27.00/hour. Compensation is based on skills and experience.
- Oversees workflow of staff and Client Care departments (CSR’s & Patient Care Coordinators).This includes delegating/re-prioritizing tasks for the team, reallocation of team resources, and directing patient flow through the hospital (check-in, check-out, discharges, payment processing)
- Assists the Hospital Manager/Leadership team in execution of training plans for the team, both new and existing team members.
- Ensures adequate staffing levels of support staff across designated departments to provide effective and optimal client experience. This can include coordinating staff meal breaks, reaching out to per diem staff for coverage, etc.
- Understands workflow of the Client Care department.
- Regularly evaluates patient/client and staff data to support delivery of exceptional patient and client care.
- Provides input with problem-solving efforts for daily operations.
- Develops constructive and cooperative working relationships across the hospital. Clear ability to get along.
- Promotes and monitors client service/hospitality expectations and delivery.
- Advocates satisfaction of internal and external customers. Attempts initial resolutions with client grievances and partners with direct manager for escalated issues,
- Facilitates open channels of communication with managers, peers, and staff. Can include coaching/teaching of team to improve quality of client service and staff skills.
- Assists with coordinating interdepartmental functioning to achieve the highest level of communication and efficiency.
- Work in a fast-paced, cooperative environment with high volumes of patients/clients.
- Conduct basic clerical work such as file charts, respond to emails, manage ezyVet, and schedule visits.
- Escalate concerns to next level leadership.
- Participate in enhancing the workplace culture.
- Administrative duties may include but are not limited do: End-of-shift reports, End of Day financial reports and processing, observational interviews of new recruits, assisting with minor inventory tasks.
Assistant Client Care Supervisor Requirements:
- 3 years of Customer Service experience
- 1 year of Veterinary Medicine experience required
- Prior Supervisor experience is a plus
- Positive, “can-do” attitude
- Organizational & time management skills
- Ability to collaborate and contribute to team success
Schedule:
- Weekdays and weekends as needed – Four 10-hour shifts/week
- Hours vary based on departmental needs, which are anywhere between 6 am and 12 am
