Client Intake Coordinator – Emergency (Temporary)

SAGE Veterinary Centers – Concord, CA
Employment Type: Temporary, through December 31, 2026
Schedule: Sunday–Tuesday, 7:30 a.m.–8:30 p.m.
Compensation: Up to $32.00/hour (DOE) + $5.50/hour Shift Differential (6:00 PM–6:00 AM)

About the Role

Help pets receive timely care while supporting the people who love them. SAGE Concord is seeking a temporary Client Intake Coordinator (CIC) to support our Emergency Department. In this role, you’ll welcome clients, gather patient information, recognize concerns that require immediate clinical attention, and help coordinate patient intake at our emergency and specialty veterinary hospital.

This opportunity is well suited for someone with veterinary experience who brings compassionate communication, strong organizational skills, and the ability to remain calm during stressful situations.

Responsibilities

In your day-to-day, you will:

  • Serve as the first point of contact for emergency clients, providing compassionate support throughout the intake process.
  • Recognize signs of potentially critical patients and promptly alert veterinarians and veterinary technicians for clinical assessment.
  • Obtain patient histories and accurately document information in the electronic medical record.
  • Assist with patient intake, including obtaining vital signs when appropriate and within your training.
  • Coordinate with the clinical team to support case prioritization and efficient patient flow.
  • Accurately enter service charges during intake to support timely invoicing.
  • Prepare and maintain exam rooms for incoming emergency patients.
  • Keep clients informed about next steps and visit expectations, sharing updates in coordination with the medical team.
  • Provide thorough handoffs to support efficient shift transitions.
  • Collaborate with veterinarians, technicians, and support staff to maintain a positive, team-focused hospital environment.

Qualifications

  • Veterinary hospital experience with familiarity in patient intake, client service, or clinical support.
  • Ability to recognize differences between stable patients and those requiring immediate clinical attention.
  • Strong communication skills and a compassionate approach to clients experiencing stressful situations.
  • Attention to detail when documenting patient histories, medical information, and service charges.
  • Ability to organize competing priorities in a fast-paced emergency setting.
  • Comfort using electronic medical records and veterinary practice management software.
  • Availability to work the posted schedule for the temporary assignment.
