At Austin Veterinary Emergency & Specialty (AVES), we have recently expanded—adding new doctors, enhancing our services, and growing our departments—now operating in our brand-new, state-of-the-art 45,000 sq. ft. hospital. Job Description
As the Inventory Assistant you will work alongside AVES inventory manager to meet the medical inventory needs of our rapidly growing hospital. The Inventory Assistant must be organized, have attention to detail, and excellent communication skills. The Inventory Assistant will aid in managing inventory within the hospital with the primary objective of maintaining adequate levels of stock to meet daily demands while minimizing excess supply and therefore excessive expiration of product or expense.
Primary Responsibilities
- Assist Inventory Manager by overseeing inventory and supply according to inventory guidelines (both medical and non-medical inventory).
- Brainstorm and develop innovative ideas alongside Inventory Manager to ensure appropriate charge capture, minimize waste, minimize expiration of product, and maintain minimum quantity on hand while avoiding running out of necessary stock
- Perform weekly inventory counts (non-chemotherapeutic and non-controlled substances) in accordance to ordering schedule to maintain appropriate minimum inventory on hand. Schedule and deadlines determined by Inventory Manager.
- Assist Inventory Manager with Quarterly inventory counts (requires additional hours on the weekend).
- Oversee receiving inventory as it is delivered to the hospital. Upon arrival, audit inventory arriving to hospital compared to invoice and identify missing and received items. Provide completed invoices to Inventory Manager.
- Pick up any other orders and supplies as needed. Provide receipts to Inventory Manager & Data Entry Personnel for reconciliation. Remove restocked items from the order white board.
- Ensure appropriate stocking of inventory throughout hospital after inventory shipment arrived. Train AVES paraprofessionals appropriate stocking procedures as directed by inventory manager.
- Help to train new staff on the appropriate way to receive shipments.
- Work with Inventory manager to update minimums on hand when noticing a trend of increased use and orders of certain supplies. Meet with Inventory manager daily as needed and in formal bi-weekly/monthly meetings.
Secondary Responsibilities
- Help create a strong relationship with other local hospitals. Pick up items that are needing to be borrowed from other hospitals and return/pay invoice as needed.
- Ensure Central Storage is organized and appropriately labeled.
- Ensure all cabinets throughout hospital are organized and appropriately labeled.
- Maintain back-order log in order to prevent selling vital (hard to obtain) inventory to community and to keep staff alert.
- Re-organize shelves and inventory on hand to ensure most efficient use of AVES workspace.
- Ensure that appropriate policies and procedures are followed by employees for inventory and equipment. Bring to Inventory managers attention with lack of adherence to policy.Save perishable boxes, ice packs, and packing materials
Qualifications
- High School Diploma or equivalent
- Inventory experience or a strong understanding of inventory management.
- Veterinary experience is a strong plus.
- A solid employment history with proven reliability.
- The ability to work independently while being self-driven and eager to grow.
- A proactive mindset, always looking for process improvements and opportunities for collaboration to streamline operations.
- Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus!
