Valley Veterinary Emergency & Referral Center is a 24/7 award-winning veterinary hospital seeking experienced Client Care Specialists. Our center is a newly renovated, 13,000+ square foot facility with dedicated staff and state-of-the-art equipment (like digital radiography and endoscopy) to offer the highest level of emergency and critical care.

Client Care Specialist Responsibilities
Serve as the primary client contact with a warm, professional, and solution-oriented approach.
Manage multi-line phones to schedule appointments, answer questions, take referrals, and provide updates.
Greet clients and pets, maintain a clean and welcoming reception area, and address immediate needs.
Confirm appointments/surgeries, give instructions, and document all client communications.
Check in appointments, drop-offs, emergencies, and surgeries; ensure accurate patient and referral information.
Prepare necessary forms, charts, and patient folders, and organize records and attachments.
Review discharge instructions and invoices with clients and complete checkout.
Address client concerns or complaints professionally and in line with hospital policies.
Process payments and insurance financing while maintaining confidentiality; assist with daily accounting tasks.
Follow up on outstanding invoices or deposits.
Schedule efficiently for multiple doctors and locations; manage voicemails, no-shows, and cancellations.
Send and scan medical records, lab results, and referral documents; notify doctors of incoming reports.
Keep client areas clean, stocked, and odor-free; clean up pet accidents and report facility needs.
Operate standard office equipment and maintain organized physical and digital patient files.
Support ongoing improvement of client service policies and workflows.
Qualifications
High school diploma or equivalent
Strong teamwork and communication skills
Ability to work in a fast-paced veterinary environment
