Veterinary Emergency Coordinator | $20–$25/hr
Location: West Springfield, MA
Schedule: Full-Time | Three 12-hour shifts per week

Veterinary Emergency & Specialty Hospital (VESH) in West Springfield, MA is hiring a Veterinary Emergency Coordinator to support our Emergency Department. This full-time Veterinary Coordinator opportunity is ideal for an organized veterinary professional who enjoys client communication, coordinating patient care, and supporting a fast-paced emergency hospital environment.

As a Veterinary Emergency Coordinator at VESH, you’ll serve as a key connection point between clients, referring veterinarians, doctors, technicians, and hospital teams while helping ensure a smooth and compassionate experience for patients and their families.

Schedule
  • Three 12-hour shifts per week
  • Includes weekday, weekend, and holiday coverage as needed
Responsibilities
  • Provide administrative and operational support to the Emergency Department
  • Serve as a liaison between VESH, referring veterinarians, and emergency clients
  • Communicate with clients regarding scheduling, follow-up care, discharge timing, and general inquiries
  • Coordinate referral communications, medical record collection, test results, and patient history documentation
  • Prepare cost estimates, admission paperwork, and discharge paperwork
  • Enter laboratory results into EzyVet and route patient updates to appropriate teams
  • Monitor emergency department email communication and ensure timely follow-up
  • Support patient discharges, virtual incision checks, callback communication, and lab result notifications
  • Assist with specialty confirmation calls and prescription refill coordination
  • Maintain accurate schedules and ensure appointments align with department workflow
  • Assist with department projects and other responsibilities as assigned
  • Collaborate effectively with doctors, technicians, client care, and leadership to support excellent patient care
Qualifications
  • Experience in veterinary medicine required; emergency or specialty experience preferred
  • Strong client service and interpersonal communication skills
  • Ability to multitask and stay organized in a fast-paced hospital environment
  • Strong attention to detail and time management skills
  • Positive, collaborative, and professional approach with both clients and team members
  • Comfortable working independently while also contributing to a team-focused culture
  • Ability to adapt quickly, solve problems, and manage multiple priorities
  • Passion for patient care and supporting an exceptional client experience
  • Fluent English speaking and reading skills required

We are a 24-hour, VECCS Level 2 Certified, state-of-the-art Emergency + Specialty veterinary hospital.


Like human medical specialists, VESH supports primary care veterinarians with the evaluation and treatment of pets affected by trauma, chronic issues, serious illness, or unusual disorders requiring advanced training, while also providing critical and emergency veterinary care.

We offer a variety of specialty services including Advanced Imaging (CT), Internal Medicine, Surgery, Medical Oncology, and Emergency and Critical Care.
