Now Hiring: Specialty Manager

The Specialty Manager provides leadership and operational oversight for all specialty departments, ensuring efficient workflows, high-quality patient care, and a supportive team environment. This role collaborates closely with all Hospital Managers and Leaders as well as our Training Coordinators to manage staff development, scheduling, performance, and service quality. The goal is to enhance clinical excellence, patient outcomes, and department growth through strategic leadership and continuous improvement.


Duties and Responsibilities:

Leadership & Management:

  •  Promote Avets’ team agreement and Ethos core values.
  • Resolve team conflicts diplomatically and maintain a positive work environment.
  • Maintain up-to-date awareness of Avets & Ethos Handbooks and Policies.
  • Oversee corrective actions and collaborate with HR and leadership on disciplinary matters.
  • Lead daily rounds and huddles to ensure alignment and service readiness.
  • Attend leadership meetings and contribute to hospital-wide initiatives.

Operations & Scheduling:

  • Create staff schedules ensuring adequate coverage and effective patient care.
  • Ensure specialty appointment schedules align with both department and business needs.
  • Monitor daily workflow, task completion, supply levels, and hospital cleanliness.
  • Approve/deny time off based on operational needs and adjust coverage as needed.
  • Collaborate with the ER Manager on shared staffing needs, workflows and patient transfers.

Training & Development:

  • Work with Training Coordinators to ensure effective onboarding and ongoing staff training.
  • Create improvement plans for underperforming staff and follow through with regular progress check-ins.
  • Mentor and support your team to foster a culture of professional growth and excellence. This should include regular 1:1s, performance evaluations, and coaching sessions.

Client Relations & Communication:

  • Model professionalism and high clinical standards in all interactions.
  • Act as first point of contact for client concerns, following through to provide resolutions and corrective action or process updates as needed.
  • Promote cross-departmental collaboration and effective communication.
  • Collaborate with the Business Development Manager to create and maintain productive relationships with our referring DVMs.

Strategic Planning & Policy:

  • Participate in recruitment, interviewing, budgeting, and labor management efforts.
  • Evaluate and recommend improvements to protocols and hospital policies.
  • Maintain confidentiality around operations, finances, and personnel matters.
  • Partner with the Medical Director/Hospital Director to address declines in department or doctor productivity.

Medical Excellence:

  • Support department leads in developing team capabilities and maintaining clinical standards.
  • Schedule specialty department and all-doctor team meetings and associated blocking of patient schedules.
  • Assign action items that result from team meetings and ensure completion.
  • Coordinate investigations associated with client complaints and our Adverse Event Policy.
  • Review and create SOPs which ensure professional and company-wide standards are met.
  • Lead special projects, coordinating with our DVM teams to advance patient care and our clinical offerings.

Administrative & Additional Duties:

  • Support recognition and engagement initiatives.
  • Troubleshoot equipment issues and coordinate with Facilities and IT.
  • Partner with the Safety Coordinator to ensure OSHA and Radiation Safety Compliance.
  • Approve invoice and billing adjustments.
  • Ensure confidentiality of all sensitive information.
  • Perform other duties as assigned to support the hospital’s mission and growth.

Qualifications:

  • 5 years of management experience is preferred or equivalent experience in a specialty veterinary practice leadership role.
  • Strong leadership skills with the ability to motivate teams and maintain professionalism under pressure.
  • Intermediate computer skills; adaptable to new software.
  • Excellent communication, organizational, time management, and problem-solving abilities.

· You will need to constantly operate a computer and other office productivity equipment such as copy machines, printers, and phones.

· You will occasionally transport supplies weighing up to 25lbs.

· You will occasionally lift patients weighing up to 50lbs.

· You will be able to communicate information and ideas so others will understand and must be able to exchange accurate information in these situations.
